Documents Documentation

Create templates, send digital signatures, and standardize organizational agreements.

Standardizing agreements with document templates

Speed up admin work with preset formats for job files.

Create template files for standard safety checklists, subcontractor agreements, or change order forms. Templates ensure your field crew gathers consistent information and formats everything perfectly, reducing manual admin review time in the office.

Requesting and tracking digital signatures

Send documents to crew and clients for fast, legal signing.

Upload any document PDF and place signature fields. CrewBox notifies recipients via email or SMS. Once signed, a legally-binding audit trail is appended to the document, and a copy is saved to the project's Documents archive automatically.

Document Viewer & Details Guide

Manage, review, and collaborate on job files, blueprints, and records.

The Document Details viewer in CrewBox Pro provides a comprehensive, split-screen environment for reviewing, managing, and collaborating on your project's administrative files, blueprints, or reports. The left side houses an interactive document reader equipped with thumbnail navigation, zoom controls, and standard document manipulation tools. The right panel organizes all administrative metadata, contextual actions, and collaboration channels to keep your team aligned.

Key Features & Sidebar Controls

  • Document Details: Located at the top of the right panel, this section tracks the file’s administrative metadata. It displays who originally uploaded the file, the exact upload date, and file specifications such as format and size.
  • Notes & Tags: Use the Notes text field to document specific takeaways, updates, or instructions regarding this file. The Tags section directly below allows you to categorize the file with relevant labels to ensure it remains easy to locate in future searches.
  • Live Collaboration Pane: The far-right section features a real-time, thread-based message board tied uniquely to this document. Team members can use this to discuss contents, log adjustments, and ask questions without leaving the document context.

Quick Actions

The Quick Actions section bridges the gap between static paperwork and active field operations by allowing you to instantly turn administrative content into real-time operational objectives:

  • Create Task from Document: Clicking this button lets you automatically spin up a new operational task directly linked to this specific file. This ensures that any instructions, compliance standards, or project specifications contained within the document are immediately actionable and directly referenceable by the assigned crew members.
